Don't Let Logistics Ruin a Great Event

Outdoor events in Walton County are a big deal — whether it's a family reunion at a local park, a church festival, a school fundraiser, or a backyard graduation party. The food, the people, the atmosphere — that's the fun part. But the logistics? That's where things can go sideways if you're not prepared.

We've helped outfit hundreds of events in and around Monroe over the years. Here's the rental checklist we'd hand every event organizer who walks through our door.

Seating & Tables

This is where most people underestimate. A good rule: plan for more seats than expected guests. People spread out, kids take up extra chairs, and you always want a few extra at the food table.

Quick estimate: For a seated dinner, figure 1 round table per 8 guests plus 1–2 banquet tables for food and serving. For a more casual setup, mix banquet and high-tops.

Pro tip: Always add 10–15% extra chairs to your headcount. Someone always brings an extra guest, and you don't want to scramble the day of the event.

If you want to give people something to do — especially kids — we have a few crowd favorites:

Sanitation

This is the one people forget until the last minute — and then they're in a panic. Here's the simple math: for a 4-hour outdoor event with 100 guests, plan on at least 2 portable toilets. Add one more for every 50 additional guests. If alcohol is being served, increase that estimate by 20%.

Even if the venue has restrooms inside, outdoor portable units keep the flow of your event moving and prevent people from tracking through the building all day.

Lighting & Power

If your event runs into the evening or you need power for a sound system, food equipment, or lighting:

Book early. Portable toilets and the dunking booth book up fast in spring and summer. If your event is in May through September, reach out at least 2–3 weeks ahead.
